Case Studies

Real examples of how I turn operational problems into clear systems, measurable outcomes and stronger client relationships.

HubSpot CRM

Building a CRM support system from scratch

CRMTicket ManagementCustomer RetentionHubSpot

Challenge: NovaBridge Solutions had no structured ticket management system — support requests were arriving with no tracking, no ownership and no priority system in place.

Action: Logged and prioritised 10 support tickets in HubSpot CRM, created contact records for 10 clients, segmented them into 3 tier-based active lists (Enterprise, Professional, Basic) and flagged a churn risk account with a follow-up retention task due within 24 hours.

Result: 100% of tickets tracked and assigned. Zero unowned tickets. Churn risk identified and actioned within 24 hours before the client could disengage.

Google Forms + Google Sheets

Achieving a 90% CSAT score through structured feedback

CSATData AnalysisGoogle SheetsGoogle Forms

Challenge: NovaBridge had no system for measuring client satisfaction post-support. The team had no data on how clients felt after their tickets were closed.

Action: Designed a 3-question CSAT survey in Google Forms, linked it to a Google Sheets tracker, entered and analysed 10 responses using COUNTIF and AVERAGEIF formulas and built a colour-coded performance dashboard with conditional formatting.

Result: 90% CSAT score recorded in Week 1. Live dashboard built for ongoing tracking. Data immediately used to identify coaching opportunities for underperforming agents.

Turning a client escalation into a process improvement

Escalation HandlingSOP WritingClient RetentionHubSpot

Challenge: A client billing complaint went unresolved for 6 days because no ticket ownership protocol existed — the client escalated directly to management, threatening to leave.

Action: Resolved the escalation personally via a direct call, issued a full refund plus one month goodwill credit, wrote a formal escalation report and a one-page SOP establishing 48-hour response rules, named agent ownership and a documented escalation path.

Result: Client retained. Escalation SOP implemented across the full CS team. Zero repeat escalations on managed accounts post-implementation.

Freshdesk

Setting up a professional helpdesk from zero in Freshdesk

FreshdeskHelpdesk SetupSLA ManagementTicket Triage

Challenge: Apex Digital Agency was managing client support entirely through a shared inbox with no ticket system, no SLA tracking and no priority structure — agents had no way to know which issues needed attention first.

Action: Set up a Freshdesk account from scratch — configured SLA policies (Urgent 4hr, High 8hr, Medium 24hr, Low 48hr), created custom ticket fields for client tier, logged and triaged 6 tickets across 5 clients with correct priorities, action notes and agent assignments.

Result: Full helpdesk operational within one session. All 6 tickets assigned, prioritised and noted. SLA policy active and tracking response times automatically from Day 1.

Calendly + Google Calendar

Eliminating scheduling bottlenecks with an automated booking system

CalendlyAppointment SchedulingGoogle CalendarWorkflow Optimisation

Challenge: NovaBridge's support team was spending 2+ days per client just scheduling support calls — endless back-and-forth emails to find a mutual time, often delaying issue resolution significantly.

Action: Set up a professional Calendly booking page with a 30-minute NovaBridge Support Call event, connected it to Google Calendar with automatic Google Meet link generation, blocked team meeting times and lunch hours to prevent conflicts and drafted a client-facing email template with the booking link embedded.

Result: Client booking time reduced from 2 days of email exchanges to under 30 seconds. Zero double-bookings. Professional client experience from first contact.

Gmail + Templates

Building a reusable email response library that cut reply time

GmailEmail TriageCanned ResponsesInbox Management

Challenge: The NovaBridge support team was rewriting the same 6 types of client emails from scratch every day — refund responses, password resets, invoice requests, complaint acknowledgements — consuming significant time and producing inconsistent quality.

Action: Triaged 6 client emails by urgency (Urgent, Routine, Low), drafted professional responses for each type, saved all 6 as Gmail canned response templates with clear naming conventions and organised the inbox with a dedicated NovaBridge Support label and importance flags.

Result: Response library of 6 templates built and ready for immediate reuse. Urgent emails (refund, complaint) identified and actioned first. Inbox fully organised with labels and priority flags. Estimated reply time reduced by 60% for repeat query types.

Trello

Coordinating a 3-client onboarding project simultaneously in Trello

TrelloProject ManagementClient OnboardingTask Coordination

Challenge: NovaBridge was onboarding a new enterprise client with no project tracking system in place — tasks were communicated verbally or via email, making it impossible to track progress, ownership or deadlines across the team.

Action: Built a Trello project board for the Greenleaf Farms onboarding with 4 status columns (To Do, In Progress, Awaiting Client, Done), 8 task cards each with descriptions, due dates, labels and a checklist inside the kick-off call card covering all pre-call steps.

Result: Full onboarding project visible to all stakeholders in one board. Status clear at a glance. Cards moved in real time to reflect progress. Client onboarded within 7-day target with zero missed tasks.
